The Message Button and the Lead That Vanishes
The message button promises that someone is reading. If nobody looks, the lead sits in a pocket and goes to a rival.
The message button promises that someone will read. If the button is on and the replies sit in a phone nobody checks, the customer waits and then calls a rival. The lead did not fail. It sat in a pocket. These messages do not fall into WhatsApp by themselves. They sit in the Google app or in the profile on a computer. The person who will look must have a name. If nobody will look, a closed button is cleaner. A silent button breaks more trust than a missing one. A painter turned the button on because it looked modern, and he only watched WhatsApp. Two quote requests waited four days.
1. Write the name of the person who opens the messages and the hours they will look.
Noon and closing are two looks enough for most counters. If the name sits by the counter, the job belongs to that person, not to everyone and therefore to no one. If the hour is missed, the button should be off that morning.
2. Accept that the message is not in WhatsApp, and look in the real place.
Until you open the app or the profile on a computer, the box is treated as empty. Treating the box as WhatsApp makes you search for the lead there and not find it. If you use both, show the apprentice once which box is the real one.
3. If nobody will read, turn the button off.
A painter who will stand on a scaffold all day turns the button off that morning. He can turn it on again when he comes down in the evening. A closed button is honest, and a button that stays silent for four days drives the customer away.
4. Copy the job into the book, because the app is not the archive.
The name, what they asked, and the day should sit in the book. When the phone changes or the app is deleted, the box goes, the book stays, and one line is enough without a long report.
5. Do not leave the reply at hello, and write the next step.
A time, a question, or a line that says to call the shop if it is urgent is enough. An empty greeting does not move the lead. The customer should see what to do in that sentence.
The painter now opens the box at noon and at close. On a scaffold day he turns the button off in the morning. The two leads that waited four days have not repeated under that order. The incoming sentence goes into the book as a job name. WhatsApp stays separate and is not mixed in.
Pin a small rule by the counter. If the button is on, the box is emptied twice a day. On a day it cannot be emptied, the button goes off in the morning. Read the rule to a new apprentice on the first day. The apprentice should not promise a customer before he has seen the box. If an unanswered line is still in the box at evening close, it goes into the book before the door is locked. A message left until tomorrow is not a job left until tomorrow. The customer has written to another painter that night. So the box is gathered in the evening the way the paint tins are.
