A Message Form with Three Boxes
Name, phone, and a short note of the fault are enough. A tax number, a budget list, and a box asking how they heard of you make people stop halfway.
A message form is the short place where a customer writes the fault and sends it. The mistake is to line up twelve boxes: company, tax number, budget, how did you hear of us. A person will not fill those in to say a fridge is not cooling, and they leave the form halfway. The fix is to put three boxes: name, phone, and a short account of the fault. For an appliance repair the inside of the third box says which room, which machine, and what it is not doing. The button says send. A box that is not needed is not added. The form does not replace the phone, it sits beside it, but the subject of this note is the number of boxes.
1. Name and phone are enough, not a company
On a repair that comes to the home, a tax number and a trading title do not help before the visit. The mistake is to open the form as if you were asking for the details on a card. The fix is to put the name in the first box and the phone in the second, the phone is written so that you can reply, and an email is not required, because many customers expect the reply as a call.
2. Let the third box ask for the fault
A budget list and how did you hear of us delay the fault. The mistake is to make the third box a marketing question. The fix is to put a guiding sentence inside the box: which room, which machine, what it is not doing, and examples can say it is not cooling, it is leaking, it is making a noise, and the customer puts their own sentence in place of that.
3. Let the button say send
Send says the form is finished, while request a quote or apply now promises another job. The mistake is to write a large selling phrase on the button. The fix is to leave send on the button and to put a short line under it: we look the same day, we do not look at night, so the person who sends knows when a reply will come.
4. Keep the required mark on the three boxes
A star on every box creates a fear that nothing may be left empty and produces filler text. The mistake is to open five required boxes. The fix is that only name, phone, and the fault are required, and if there is no other box there is no other star, and if the phone is missing you cannot reply, so that box cannot be skipped.
5. Read the note the same day
If the three boxes fall into a box you do not look at, the form is decoration. The mistake is to place the form and look once a week. The fix is to read the notes at the end of the day and to write a short reply or to call, and if you did not understand the machine ask about the sentence in the third box, and do not add a new box.
A concrete form can stand like this. The first box is the name. The second box is the phone. The third box is which room, which machine, what it is not doing. The button is send. There is no tax number, no budget, and no how did you hear of us. The line under it says the notes are looked at the same day. The customer writes that it is not cooling and finishes the form. You reply that day.
